Scheduled Transactions

When you are living on the road, it is easy to lose track of what day it is. The last thing you want is to forget to log your monthly van insurance or your weekly savings transfer, throwing your entire budget out of sync.

The Scheduled Transactions feature (sometimes called “Repeat Transactions”) handles your recurring bills, subscriptions, and regular income so you don’t have to.

To manage your schedules, open the Money tab and navigate to the Ledger / Repeat Transactions to access the scheduling manager. The button is on the top right and look for a calendar and clock icon. Tap it.


Tap the floating + button in the manager to create a new scheduled item.

  1. Type: Choose whether this is an Expense (like Netflix), Income (like a monthly retainer), or a Transfer (like moving £50 to savings every week).
  2. Details: Enter a title, the amount, and an optional memo.
  3. Assignment: Pick the Category and the Account this money will enter or leave. (If it is a Transfer, you will select both a “From” and “To” account).
  4. Schedule: Set the Next Due Date and choose how often it repeats (Daily, Weekly, Bi-Weekly, Monthly, Quarterly, or Yearly).

The most important setting is at the very bottom of the editor: Automation Type.

Because Vanlife Assistant is designed to keep your balances perfectly accurate, it gives you two ways to handle recurring items:

If you select Auto-Pay, the app handles everything in the background. On the due date, the app will automatically deduct the money from your account balance, create a new entry in your Ledger, and advance the schedule to the next due date.

  • Best for: Fixed-price, automatic bank deductions like Spotify, Netflix, or phone bills.

If your phone bill fluctuates depending on roaming charges, you don’t want the app guessing the amount. Select Manual Approval. On the due date, the app will not log the transaction automatically. Instead, it will send you a notification.

When a “Manual Approval” item hits its due date, it moves to the very top of your Scheduled Manager into a red Action Required section.

  • You will see the item listed with a bright “Pay” button.
  • Tap Pay, and the app will instantly log the transaction into your Ledger, update your account balances, and advance the due date for next month.
  • (If the amount was slightly different this month, you can tap the item to edit the amount before hitting Pay!)
